Linen management for short-lets

The van is loaded before anyone asks.

Linen is where short-let agencies lose money without noticing: the extra trip, the set nobody counted, the bag of dirties left in a cupboard. BedsReady works the linen out from the beds, counts what is kept at each property, and adds up the run.

The linen run

One screen for every drop and every collection.

Dirty sets waiting at each property, landlords' orders to confirm, and today's van load added up item by item.

Five ways linen gets there

Every clean says how its linen arrives.

The cleaner collects it

From your depot, during opening hours. The clean shows which items to pick up.

The cleaner brings their own

For cleaners with their own stock. Nothing goes on the run.

The owner's own linen

It stays at the property; the clean lists what to use.

A set kept on site

Clean sets stored at the property. A clean uses one instead of a delivery.

The office delivers

It goes on the day's run, and the van load includes it.

Drops by day

The run lists each day's deliveries ahead, so tomorrow's van can be planned today.

Sets on site

Send four sets up once, and stop delivering every turnover.

Counted down as cleans use them

Record the sets you send to a property. When a cleaner who doesn't collect linen does a turnover there, they use one of those sets, the count goes down, and no delivery is booked.

Every used set is counted as dirty at the property, so maintenance can see where bags are waiting and tap Collected when they pick them up. Clean and dirty counts sit side by side on the property card.

Ordering by the set

King, double and single, standard or luxury.

The office and landlords order the same way, and the order is sent as the exact items it adds up to.

Sets, extras on top, a delivery date and a note.

Extras on top of the sets

Add extra towels, kitchen towels or anything else on top of the sets. The office is emailed, confirms the order, and it appears on the run for that day.

The order note keeps which sets were asked for, so the office and the landlord both see "2 x Double set luxury" rather than a long list of items.

Questions

What people ask first.

Do my cleaners have to collect linen?

No. Each cleaner is set to collect it, bring their own, or have it delivered, and a property can keep clean sets on site. Every clean says which, and the linen run only lists the drops that are actually needed.

How does it know how much linen a flat needs?

From the beds. Set up each room once (a king, two singles, a sofa bed) and every clean of that property carries the exact sheets, covers, pillowcases and towels. One bed with extra pillows can be set on that bed alone.

What are standard and luxury sets?

A standard set is the sheet and duvet cover for the bed size, plus a pillowcase, bath towel, hand towel and bath mat for each guest. Luxury adds a second pillowcase and hand towel for each guest, and a kitchen towel. King, double and single sizes come in both.

Can a landlord order linen without using you for cleaning?

Yes. Mark the property as linen only and the landlord orders sets from their phone. The order is emailed to the office, confirmed, and goes on the linen run.
