Terms of use
Last updated 21 October 2026.
Who you are dealing with
BedsReady is provided by Andreas Riha, a sole trader trading as BedsReady (“we”, “us”). These terms apply to the business that opens an account (“you”, the customer) and to everyone who signs in under that account. Contact: andreas@bedsready.com.
The service
BedsReady is housekeeping and cleaning software for hotels, short-let agencies and cleaning companies: room and clean lists, staff sign-in, photos, linen, maintenance, rotas, time, invoicing and, on Premium, an AI assistant. Features are described on this website and may change as the product develops; we will not remove something you rely on without telling you first.
Accounts and sign-in
- You are responsible for who you invite and what they do under your account. Each person should have their own sign-in; PINs must not be shared.
- Tell us straight away if you think an account has been misused.
- You must be able to make this agreement for your business.
Your data
- Everything you and your team put into the service stays yours. We use it only to run the service for you, to support you, and to keep the service secure.
- For personal data in your account (staff, guests, landlords) you are the controller and we act as your processor, as set out in our privacy policy. You are responsible for having a lawful basis to put it in and for telling the people concerned.
- You can ask us for an export of your data at any time, and when you close your account we delete it within 90 days, except invoices and records the law requires us to keep.
The AI assistant (Premium)
- Premium includes an AI assistant powered by Claude (Anthropic). It is on by default for Premium accounts and an admin or manager can switch it off at any time.
- It works from your account’s own records and only reads them; it never changes anything. Answers, summaries, translations and labels can be wrong. They are there to help, not to decide: check anything important before acting on it, and don’t rely on it for anything safety-critical, legal or financial.
- How data is sent to and handled by the AI provider is explained in the privacy policy.
- Use is subject to fair limits (currently 60 questions per person per day) so that the service stays fast and affordable for everyone.
Fair use
Don’t use the service for anything unlawful, to upload content you have no right to, to try to get into other accounts, or to overload or reverse-engineer it. We can suspend access that puts the service or other customers at risk, and will tell you why.
Fees
Prices are as agreed with you or shown when you sign up. Paid plans are billed in advance unless we agree otherwise. If you use the invoicing features to bill your own clients, those invoices are between you and them; card payments go through Stripe under Stripe’s terms.
Availability
We work to keep the service running and your data safe, and we back it up, but we can’t promise it will never be interrupted. Planned maintenance will be at quiet times where we can.
Liability
Nothing in these terms limits liability that cannot be limited by law. Otherwise, we are not liable for indirect or consequential loss (such as lost bookings or profit), and our total liability in any 12 months is limited to the fees you paid us in that period.
Ending
You can stop using the service and close your account at any time. We can end the service with 30 days’ notice, or straight away if these terms are seriously broken. Either way you can ask us for an export of your data first.
Changes to these terms
We may update these terms; the date at the top will change, and account admins will be told by email of anything that materially affects them.
